Auto-reject candidates in Guide when they're rejected in Greenhouse

Guide can automatically reject a candidate when their application is rejected in Greenhouse. When this setting is enabled, Guide also cleans up the related scheduling work so recruiters and coordinators do not have to manually close out stale tasks.

What happens when a candidate is rejected in Greenhouse

When Guide receives a new Greenhouse rejection and the setting is enabled, Guide will:

  • Mark the candidate as rejected in Guide

  • Archive open scheduling tasks

  • Cancel upcoming scheduled interviews and retract calendar invites

  • Close open availability requests and self-schedule requests

  • Archive open reschedule tasks

  • Archive the candidate's Guide-created Slack channel, if one exists

  • Add an activity feed entry showing that the rejection was synced from Greenhouse

Turn on auto-reject

  1. In Guide, go to Settings.

  2. Open Automations.

  3. Find Auto-reject in Guide when rejected in Greenhouse.

  4. Turn the setting on.

Only Org Admins can change this setting.

Defaults

Existing orgs have this setting off by default. Nothing changes until an Org Admin turns it on.

Note: New orgs have this setting on by default.

Important notes

  • This applies only to Greenhouse in the first release. Other ATS integrations are not included yet.

  • The setting only applies to new Greenhouse rejections going forward. If a candidate was already rejected in Greenhouse before the setting was turned on, Guide will not retroactively reject them.

  • If a candidate is later un-rejected in Greenhouse, Guide will not automatically undo the rejection or reopen archived scheduling work. Any recovery needs to be handled manually in Guide.

  • Greenhouse delayed rejection emails still work the same way. Guide reacts when the candidate is marked rejected in Greenhouse, not when the rejection email is sent. This means calendar cancellations may happen before the candidate receives a delayed rejection email.
