Who can use this
Coordinators using Aria scheduling can request invite changes on draft interviews in the active conversation.
Org admins configure organization-level Aria settings for interviewer invite template selection.
Users with job-stage Aria settings access can override those values for a specific interview stage.
Configure default template selection
Organization level
Open Aria settings for your organization.
Expand Interviewer invite template selection.
Set Default template to a saved interviewer invite template, or choose Let Aria choose a template to leave the default unset.
Optionally add Additional instructions when selecting an interviewer invite template — natural-language guidance for how Aria should pick among existing templates (for example, different templates for internal candidates or onsite vs virtual interviews).
Job stage level
Open Aria settings for the job.
Select the interview stage to configure.
Expand Interviewer invite template selection.
Override Default template and/or Additional instructions when selecting an interviewer invite template for that stage. Stage values override organization values for interviews in that stage. Use Reset on a field to inherit from the organization again.
Changes to these settings apply when Aria creates new draft interviewer invite content. They do not change invite content on draft interviews that already exist.
Change invite content in Aria chat
While working on a draft schedule in Aria:
Apply a template — Ask Aria to switch one or more draft interviews to a named interviewer invite template. If the name is an exact match, Aria applies it. If the match is close but not exact, Aria asks you to confirm before applying. If no template matches, Aria does not change the draft and can offer to edit the text directly instead.
Edit subject or instructions — Ask Aria to rewrite the invite subject, the interviewer instructions, or both. Editing text directly removes the link to any previously applied template on that draft interview.
Clarify the target — If your request does not clearly identify which draft interview to change, Aria asks one clarifying question before making any change.
Review updated invite content on the release-time schedule review before releasing the schedule.
Limitations
This flow changes draft interviewer invites only. Invites for interviews that are already scheduled were already sent and cannot be updated through this conversation.
Aria cannot create, edit, or delete saved interviewer invite templates — those are managed in message template settings.
Aria does not change candidate-facing invite content.
An explicit template request in the active conversation overrides org- and stage-level selection settings for that request.
