How Guide syncs Ashby interview plans

How Guide syncs your Ashby interview plans to ensure you're ready to schedule across your open roles.

When Guide syncs with Ashby, it creates or updates "Scheduling Plans" based on your Ashby interview activities. This makes it easier to keep Guide aligned with the structure of your interview plan in Ashby while still letting you manage Guide-specific setup in Guide.

What syncs from Ashby

Guide syncs the interview plan structure from Ashby, including the interview activities that make up the plan. Depending on the activity data available in Ashby, synced interviews can also include details like:

  • Jobs

  • Job stages

  • Interviews for each stage

If a scheduling plan has been synced from Ashby, you’ll see a "Synced from ATS" label on the scheduling plan in Guide.

What does not sync from Ashby

Ashby does not provide everything Guide needs to fully configure scheduling plans.

Most importantly, interviewers and interview duration do not sync from Ashby.

Other Guide-specific settings also stay managed in Guide. That includes things like:

  • Interview requirements

  • Video conferencing settings

  • Conference room settings

  • Scheduling instructions

  • Scheduling windows

  • Other Guide-only scheduling settings

How to complete setup in Guide

After your interview plan structure syncs from Ashby, you may still need to finish some setup in Guide. If your team uses shared interviews in Ashby, the best way to handle this in Guide is using Guide's global interview settings in your org settings.

To add interview requirements in Guide for all your shared interviews:

  • Go to Guide settings

  • Open Org settings

  • Select Interview defaults

  • Open Global interviews

  • Add your interview requirements to each interview here

When a synced interview (within a job) uses a global interview, Guide applies the settings from that global interview to the scheduling plan for that job - and will do so across all jobs where this interview is used.

If you later update that global interview in Guide, those updates will automatically apply to the active scheduling plans using it.

How syncing works

Guide can create missing synced scheduling plans automatically in the background for Ashby-connected jobs. If you want to refresh existing synced plans, use Sync from ATS at the job level in Guide.

When you run Sync from ATS, Guide can:

  • Add missing synced scheduling plans from Ashby

  • Update existing scheduling plans that were already synced from Ashby

This sync is not a live two-way mirror. Changes to existing synced scheduling plans are refreshed when you run Sync from ATS.

Important behavior to know

  • Guide-created scheduling plans do not automatically become synced plans

  • Synced plans keep Guide-owned settings that are managed in Guide

  • Manual refresh is available at the job level

  • This feature applies to Ashby

When to use Ashby vs. Guide

A simple way to think about it:

  • Use Ashby as the source for interview plan structure

  • Use Guide to complete and manage the scheduling setup that Ashby does not provide (eg scheduling requirements for each interview)

This gives you a faster starting point in Guide without requiring you to rebuild the full interview plan structure manually.
