What are interviewer pools and when should you use them?

Interviewer Pools can be used to categorize your interviewers into groups, and can be used during scheduling to filter exactly who gets suggested by Guide AI.

For example, when setting up your requirements, you can specify that Guide pulls interviewers that are L6 or L7 and speak Spanish:

Creating Interviewer Pools and assigning Interviewers

Interviewer Pools can be grouped together in categories (such as different experience levels) or created "ungrouped". In addition, you can also include a training progression for a pool. To learn more about managing Interviewer Pools, check out this support article.

Interviewer pool requirement vs Smart Match

Use this

When

Interviewer pool requirement

You want scheduling tied to a specific pool—especially when trainees on that pool should progress through its training steps.

Smart Match requirement

You want flexible matching by pool membership (and hierarchy) without making one pool the primary training anchor.

Example: You need someone who is L6 or L7 and in your Spanish-speaking pool. Add a Smart Match requirement, add pool filters (for example Include if has any on L6 & L7 pools, combined with Include if has any on the Spanish pool), and save. When scheduling, Guide restricts suggestions to interviewers who match those filters.

Add Smart Match to scheduling configuration

You configure interviewer rules in the same places as before: scheduling defaults, interview templates, scheduling plans, and individual scheduling tasks—wherever your organization already sets interviewer requirements.

Add or edit a Smart Match requirement

  1. Open the interviewer requirement section for the interview or default you are editing.

  2. Add or select Smart Match.

  3. Use + (add filter) to add pool filters. Choose the operator, then select pools from the picker (grouped by category when your catalog uses categories).

  4. Save the requirement.

Note: The Smart Match header subtitle reads "Filter by pool" or "Filter by pool or management hierarchy," depending on whether org-chart filtering is enabled for your organization.

Add or edit an Interviewer pool requirement

  1. Add an interviewer requirement and choose a pool (in the interviewer picker, the tab for pools is labeled Pools when Interviewer pools are enabled).

  2. Select the pool that should anchor training and eligibility.

  3. Optionally add the same kinds of pool filters to narrow qualified members further.

  4. Turn on Interviewer training on the requirement if a trainee should be scheduled with the qualified interviewer.

Example: My anchor pool is the Culture Interview, where trainees are active, but I also need additional filtering by the pools. Below you'll see level experience was added, in additional to a language requirement.

Using Interviewer Pools and Smart Match during scheduling

During scheduling, Guide will show pre-defined pools underneath each Interviewer requirement. You can further add pools filters during scheduling at any time.

When you "Select interviewer", Guide will only show those interviewers matching the selected Tag filters.
