Slack Notifications for Interviewers in Guide

Guide sends interviewers direct messages in Slack so they can RSVP to interviews, get reminders and keep up with their training without digging through email.

Before you start

  • Your Slack workspace must be connected under Settings > Integrations. If Guide asks for updated Slack permissions, a Slack admin needs to disconnect and reconnect the integration before the notification settings can be turned on.

  • Interview RSVP and reminder messages go only to users with the Interviewer permission level in Guide.

  • All messages come from the Guide app as direct messages, separate from any calendar notifications.

Types of Slack notifications

1. Interview invite (RSVP request)

  • When it's sent: When an interviewer is scheduled for an interview.

  • What it says: "You've been invited to an upcoming interview with [Candidate] for the [Job] role. RSVP to confirm."

The message shows a card with the interview name, date, time and time zone, a Going? prompt, and Yes / No buttons.

2. Updated interview invite

  • When it's sent: When an interview the interviewer is on is changed (for example, a new time).

  • What it says: "The interview [Interview] with [Candidate] for the [Job] has been updated. RSVP to confirm."

If the scheduler added a note, the note is included. Includes the updated interview card and Yes / No buttons.

3. RSVP reminder

  • When it's sent: If the interviewer hasn't answered the invite after a set number of hours (24 by default).

  • What it says: "Friendly reminder: Please RSVP for your upcoming interview with [Candidate] for the [Job] role."

Includes the interview card and Yes / No buttons.

4. Upcoming interview reminder

  • When it's sent: A set number of hours before the interview starts (24 by default).

  • What it says: "Friendly reminder: Your interview with [Candidate] is coming up on [Day, Month Date]."

Includes the interview card and Yes / No buttons so the interviewer can confirm they still plan to attend.

How RSVP responses work (applies to messages 1-4)

  • Yes: Guide replies "Confirmed! You're scheduled for the interview with [Candidate]."

  • No: A Decline interview invite window opens and the interviewer must enter a Reason, then click Decline interview. Guide replies "Interview invite declined. Thank you for letting us know you're unable to make the interview." The reason then shows on the message.

  • Responses sync to Google Calendar and appear in Guide and the Chrome extension.

5. Training role change (Interviewer Pools / Training Paths)

When it's sent: When a trainee's role on an upcoming interview changes, for example from Shadower to Reverse Shadower.

  • To the trainee: "Hey [First name] — for your upcoming [Interview] interview, you'll be continuing as a [Shadower / Reverse Shadower / fully qualified interviewer] (instead of [previous role])."

  • To the lead interviewer: "Heads up — [Trainee] will be joining the [Interview] interview as a [new role] instead of a [previous role]."

Both include the interview card and a View interview details link:

6. Training readiness check-in

When it's sent: After a trainee finishes their last required Shadow or Reverse Shadow interview for a training path.

  • To the trainee: "Nice work — you've completed the last [Shadow / Reverse Shadow] interview for the [Pool] training path..." followed by Ready to move forward? with I'm ready! / Not yet buttons.

  • To a reviewer (qualified interviewer or admin): "[Trainee] has completed their last [Shadow / Reverse Shadow] interview for the [Pool] training path..." followed by Is [Trainee] ready to move forward? with [Trainee] is ready! / Not yet buttons.

  • Guide confirms each answer in the thread.

Note: These check-ins are sent even if Slack notifications are turned off for interviewers, so training reviews can always be collected.

7. Training milestone

When it's sent: When a trainee moves to the next stage of training within the Interviewer Pool:

  • "You're ready for Reverse Shadow interviews for [Pool]! Next up, you'll take the lead while an observer joins to support you."

  • "You're now fully qualified for [Pool]! You can start leading interviews on your own. Great work reaching this milestone!"

Important note: Interview cancellations are sent by email only, not Slack.

Configuring Slack notifications (organization level)

Admins can manage these settings under Settings > Organization > Notifications:

  • Enable Slack notifications: Turns interviewer Slack invites, reminders and training updates on or off for the whole organization.

  • Send RSVP reminder: "Remind interviewers to RSVP [X] hours after the initial invite if they haven't responded yet." (Default: 24)

  • Send interview reminder: "Notify interviewers on Slack [X] hours before their scheduled interview to ensure they still plan to attend." (Default: 24)

Can individual interviewers have their own settings?

  • No, this is not currently supported in Guide. These settings apply to every interviewer in the organization. You can't turn Slack notifications on or off for one person or one group (for example, only executives).

If an interviewer doesn't want these messages, there are two options:

  1. Turn them off for everyone: An admin turns off **Enable Slack notifications** (see above). This stops all interviewer Slack messages except training readiness check-ins.

  2. Mute Guide in Slack (individual): The interviewer opens the Guide app in Slack, clicks the dropdown next to the app name, and selects Mute notifications or Pause notifications.
