Testing Your Custom Email Domain

Once your custom email domain has been verified in Guide, you should run a quick end-to-end test to ensure it is working correctly before enabling it for your organization.

πŸ§ͺ Why You Should Test Your Domain

Testing your domain confirms that:

  • Emails are sent from your custom domain

  • Candidates can reply to those emails

  • Replies correctly sync back into Guide

Completing this test ensures your domain is functioning properly before it is enabled organization-wide.


βš™οΈ Step 1: Create a Test Candidate

Start by creating a fake candidate in Guide.

  1. Navigate to Candidates in Guide.

  2. Create a new candidate profile using your own email address (or another test email).

  3. Open the candidate profile so you can send them a message.

Using your own email makes it easy to verify that replies are working correctly.


βœ‰οΈ Step 2: Send an Email Using Your Custom Domain

Next, send a message from Guide using your custom domain.

  1. Open the message composer for the test candidate.

  2. Click the gear icon next to the Send From field.

  3. Select your custom sending domain.

  4. Send a test message to the candidate.

When you receive the email, verify that the sender address uses your custom domain.

Now confirm that incoming replies are captured by Guide.

  1. Open the email you received.

  2. Reply to the message from your inbox.

  3. Send the reply.

β€‹βœ… Step 4: Confirm the Reply Appears in Guide

Return to the candidate profile in Guide and confirm that:

  • The reply appears in the candidate conversation thread

  • The message is properly associated with the candidate

  • The email is shown as coming from your custom domain

If the reply appears correctly, your domain is functioning as expected.


πŸš€ Final Step: Enable the Domain Organization-Wide

Once the test is successful, reach out to Guide Support to enable the custom domain for your entire organization.

After it is enabled organization-wide:

  • All emails sent from Guide will use your custom domain by default

  • Recruiters and coordinators will no longer need to select it manually
