Include recruiters and hiring managers in debriefs

Guide can automatically add the job's recruiter and hiring manager to internal debriefs, even when they were not scheduled as interviewers.

This is useful when a recruiter or hiring manager should attend the debrief but does not appear in the interview plan, or when they spoke with the candidate outside of a Guide-scheduled interview

Turn on recruiter or hiring manager inclusion

  1. Open the job or interview-stage settings for Aria.

  2. Go to Schedule internal debrief.

  3. In the attendee settings, turn on either or both options:

    • Include recruiter in debrief

    • Include hiring manager in debrief

  4. Save the settings.

The settings can be inherited from organization defaults or overridden for a specific job or interview stage, using the same inherited-settings behavior as the other debrief defaults.

Use the settings for a one-off debrief

When you create a one-off debrief, Guide shows the same recruiter and hiring manager options in the attendee section.

The one-off builder starts with the saved debrief settings for that job or stage. You can change either option before creating the debrief. Changes made in the one-off builder apply only to that debrief and do not update the saved defaults.

What Guide adds

When Include recruiter in debrief is on, Guide adds the job's effective recruiter as a required debrief attendee.

When Include hiring manager in debrief is on, Guide adds the job's effective hiring manager as a required debrief attendee.

Guide adds at most one recruiter and one hiring manager. If the recruiter or hiring manager is missing, inactive, or explicitly cleared, Guide skips that role and continues creating the debrief.

How this differs from "Include interviewers from all stages"

Include interviewers from all stages adds people who were scheduled as interviewers on earlier interviews.

The recruiter and hiring manager settings add people by their job role, even if they were not scheduled as interviewers. The settings can be used together.

Existing debriefs

Changing these settings can refresh tentative debriefs when the expected attendee list changes.

Guide does not automatically update debriefs that have already been released. To change attendees on a released debrief, edit the debrief manually.

Notes and limits

  • Recruiters and hiring managers are required attendees when included, so their availability can affect which debrief times Guide finds.

  • Candidate-facing communication does not change.

  • These settings do not add coordinators, sourcers, or every ATS user with a recruiter or hiring-manager role.
