Editing "Interview Defaults" & Candidate-Facing Interview Titles

Control which Greenhouse‐synced interviews are visible to candidates and customize candidate‐facing interview names.

Overview

Guide automatically syncs your Greenhouse interview kit interviewer into the Interview Defaults settings page. By default, every scheduled interview will appear in a candidate’s portal and calendar invite. “Interview Defaults” lets you:

  1. Hide specific interviews (e.g. debriefs, reference checks, candidate roundtables) so candidates never see them even if they're scheduled in Greenhouse.

  2. Override any Greenhouse interview title with a candidate‐friendly name (e.g. change “Behavioral Phone Interview” to “Intro Call”) so that every time that interview type appears in the candidate portal or on their calendar, they see your custom label instead of the raw Greenhouse title.

Why this matters:

  • Prevents candidates from seeing internal or “behind‐the‐scenes” interviews that may cause confusion (e.g. “Final Debrief”).

  • Ensures the wording of each interview stage is clear and consistent for candidates.

  • Keeps your Greenhouse data untouched—these settings are purely for the candidate’s view.


Step‐by‐Step Instructions

1. Navigate to “Interview Defaults” in Organization Settings

  1. Log into Guide and click Settings (⚙️) in the lower‐left corner.

  2. Under Organization, select Interview Defaults.

You’ll see a searchable list of all interviews synced from Greenhouse, including:

  • Greenhouse Title (the exact name from your Greenhouse Interview Kit)

  • Candidate‐Facing Title (blank by default)

  • Linked Jobs (number of jobs that use this interview)

  • Visible toggle (on by default)


2. Hide Undesirable Interviews from Candidates

  1. Scroll through or use the Search interviews bar to find any internal interviews that candidates shouldn’t see—e.g.:

    • Debrief

    • Reference Check

    • Candidate Roundtable

  2. For each interview you want to hide:

    • Click the Visible toggle to turn it OFF (gray).

    • Once toggled off, that interview will never appear in the candidate’s portal or on their calendar invite—even if it’s scheduled by a recruiter.

Tip: Jobs that already have these interviews scheduled won’t retroactively remove past invites; it only prevents new occurrences of that interview from showing up to candidates.


3. Override Candidate‐Facing Interview Names

  1. Identify any interview stage whose Greenhouse title may be unclear or too technical for candidates. Common examples: “Behavioral Phone Interview,” “Coding Challenge,” “Culture Screen.”

  2. In the Candidate‐Facing Title column next to each Greenhouse title, click Add a title and type a concise, candidate‐friendly label, such as:

    • “Phone Chat” instead of “Behavioral Phone Interview”

    • “Coding Exercise” instead of “Coding Challenge”

    • “Culture Chat” instead of “Culture Screen”

  3. Press Enter to save.

Outcome: Once saved, any future scheduling of that interview type will display your override in:

  • The candidate’s Interview Schedule (in their candidate portal)

  • The subject line of the calendar invite (e.g., “Guide: Phone Chat with Jane Doe” instead of “Guide: Behavioral Phone Interview with Jane Doe”)


Best Practices & Tips

  • Audit Periodically: Whenever you add new interviews in Greenhouse, revisit Interview Defaults to set visibility and override titles before scheduling with candidates.

  • Consistent Naming Convention: Align candidate‐facing titles with your overall interview process branding. For example, if you use “Final Round” in your career site, mirror that here.

  • Bulk Searches: Use the “Search interviews” field to quickly find all interviews containing a particular keyword (e.g. “Phone,” “Coding,” “Technical”) so you can update multiple related interviews at once.

  • Zero Impact on Data: Rest assured that these overrides never change your underlying Greenhouse interview records—they only tailor what candidates see.


Frequently Asked Questions

Q. If I hide an interview now, will it remove it from candidates who were already scheduled for it?

A. No. Hiding an interview in Interview Defaults prevents it from displaying on future candidate portals and calendar invites. Interviews already scheduled will remain as‐is.

Q. Can I revert a hidden interview to visible later?

A. Absolutely—just toggle Visible back ON (purple). Once visible, new schedules of that interview will again appear to candidates.

Q. Does overriding a title affect my Greenhouse pipeline names?

A. Not at all. The Greenhouse pipeline remains unchanged. The override only controls how the name appears to candidates once scheduled via Guide.
