Candidate interview reminders

Guide can send candidates an automated email reminder before their scheduled interviews. The reminder is branded to your organization, lists the interviews coming up that day, and links the candidate back to their candidate portal.

Who can use this

Organization admins control whether reminders are sent. Once enabled, candidates with upcoming scheduled interviews receive the reminder emails automatically.

How to turn it on

  1. Go to Settings → Notifications.

  2. Find Candidate interview reminders.

  3. Choose when the reminder should send:

    • Don't send — no reminders go out.

    • 24 hours before

    • 48 hours before

The setting applies to the whole organization. You can change or turn it off at any time.

How it works

  • Candidates receive one reminder email per interview day, sent the chosen amount of time before the first interview of that day.

    • Example: If a candidate had 4 interview scheduled on a Tuesday, they will only receive one email reminder, not one per interview, which would be 4 reminders in total

  • If a candidate has interviews on more than one day, they get a separate reminder for each day.

  • Each reminder lists every eligible interview that day as its own card, with the title, date, time and timezone, interviewers where available, and how the interview takes place (location, video, phone, or coding).

  • Every reminder includes a View in candidate portal button so candidates can see full details, reschedule, or ask questions.

  • Reminders are sent to the candidate's primary email address.

What gets included

Reminders cover upcoming scheduled interviews regardless of how they were created — Guide-scheduled, manually added, self-scheduled, booking link, or synced from your ATS or calendar.

A reminder is not sent for interviews that are canceled, archived, hidden, or already started.

  • Note: If one interview in a day is canceled before the reminder goes out, the reminder updates to show only the remaining interviews. If none remain, no reminder is sent.

Limitations

  • When an organization turns reminders on, only interviews scheduled afterward are covered — existing upcoming interviews are not automatically included.

  • If an interview is scheduled after the reminder window has already passed, no reminder is sent for it.

    • Example: If you schedule an interview to occur in less than 48-24 hrs (depending on your organization's settings, there will be no reminder sent to the candidate).

  • Reminders are sent by email only.

  • One reminder email is sent per interview day, even if there are several interviews that day.

  • One reminder timing is sent per day (for example, 24 hours before — not both 24 hours and 1 hour before).

  • Reminders go to the candidate's primary email only; additional recipients are not included.
