Organization Settings: Scheduling Defaults

Control default scheduling behavior for your team, including who handles tasks, how meetings are treated, and how calendar visibility works

Updated this week

📆 Flexible Meetings

Flexible meetings are internal events that should not block interview scheduling.

To allow scheduling over specific meetings:

  1. Enter meeting titles (e.g. “1:1”, “Office hours”, “Stand-up”) in the comma-separated list provided

  2. Guide will automatically recognize calendar events with these phrases and schedule interviews over them without conflict

✅ These events will appear with a green calendar icon to indicate they are flexible.

🚫 Blocked Dates

Prevent scheduling on specific days (e.g. holidays or company-wide PTO).

To block a date:

  1. Click Add blocked dates

  2. Choose the date(s) you’d like to prevent interviews from being scheduled

  3. Save changes

🛑 Blocked dates apply globally across your organization.

⚙️ Scheduling Settings

These settings define how Guide routes scheduling tasks and handles Google Calendar privacy.

Default assignee for new scheduling tasks

Choose who gets new interview scheduling tasks by default:

  • Coordination queue (shared team queue)

  • A specific coordinator (if you prefer routing to a named user)

Default assignee for reschedule tasks

Choose who gets assigned when interviews are rescheduled:

  • Last assignee (sends it back to whoever handled it before)

  • Coordination queue or specific user (optional setup)

Default Google Calendar privacy

Set the visibility level for calendar events created through self-schedule requests:

  • Default: Uses user’s default calendar settings

  • Private: Ensures the event is marked private on their calendar

🔒 This setting only applies to self-schedule and panel interviews and does not affect Booking Link interviews.

✅ Tips

  • Use flexible meetings to avoid blocking availability with non-essential events.

  • Set blocked dates in advance for holidays and company-wide offsites.

  • Keep reschedule workflows streamlined by routing back to the last assignee.
