šŸ—“ļø Managing Your Scheduling Preferences

The Scheduling Preferences page helps you define your availability, self-scheduling rules, and flexible meeting handling in Guide. These settings ensure that interview scheduling works smoothly for your preferences and availability.

Below is a breakdown of each section and how to configure it:


šŸŒ Availability

Purpose: Set your working hours and interview capacity.

1.Timezone

  • Use the dropdown to select your current timezone. This will ensure your working hours and bookable hours are displayed correctly.

2. Working Hours

  • Set your daily working hours by selecting a start time and end time for each day (Mon–Fri).

  • You can mark a day as Unavailable if you do not wish to receive interviews on that day.

  • Click the reset icon šŸ” next to each row to quickly reset that day’s settings.

3. Interview Limits

  • Max interviews per day: Set the maximum number of interviews you are willing to take per day.

  • Max interviews per week: Define the weekly limit to avoid overload (e.g., 3).


šŸ¤– Self-Scheduling Settings

Purpose: Define when Guide can auto-schedule interviews on your behalf.

1. Bookable Hours

  • These are the times when Guide can automatically book interviews for you.

  • Set your start and end time for each weekday.

  • Mark any day as Unavailable to block self-scheduling.

2. Buffer Time

  • Add padding around interviews by setting time before and/or after meetings (e.g., 0–30 minutes).

3. Minimum Notice

  • Set how much advance notice is required before a candidate can be scheduled (e.g., 2 hours).

4. Rolling Date Range

  • Choose how far into the future candidates can see and book your availability (e.g., 14 calendar days).


🧠 Flexible Meetings

Purpose: Allow certain calendar events to be ignored by Guide’s scheduling logic.

1. Organization Flexible Meetings

  • If toggled on, Guide will recognize certain recurring keywords (e.g., ā€œOffice hoursā€, ā€œStand-upā€) and schedule interviews over those events without conflict.

2. My Flexible Meetings

  • Add any custom meeting titles that you personally use which shouldn’t block scheduling.

  • Example: "1:1", "Lunch", "Focus Time"

  • Use Buffer Time and Interview Limits to avoid burnout.

  • Leverage Flexible Meetings to maximize schedulable time without disrupting your calendar routines.
