Troubleshooting Your BrightHire and Guide Integration

Most BrightHire issues come down to your BrightHire account configuration. Here's how the two work together and how to resolve the most common problems.

How BrightHire works with Guide

BrightHire automatically detects and joins interviews based on the calendar invites that Guide creates.

When Guide schedules an interview, it creates that interview in your ATS (for example, Greenhouse or Ashby) on the candidate's profile and places the video conferencing link (such as Zoom or Meet) in the invite's Location field. BrightHire is designed to read those invites and join the call automatically, as long as BrightHire's settings are configured correctly.

Because the connection runs through BrightHire's detection rules rather than a built-in integration, almost all issues are resolved on the BrightHire side.


Before you start

For the "Interview with BrightHire" button to appear on a calendar invite, the interviewer must have the BrightHire browser extension installed. If the button is missing, this is the first thing to check.

How BrightHire detects an interview

BrightHire shows the "Interview with BrightHire" button, and joins the call, when it identifies a meeting as an interview. It does this when ANY of the following appear in the meeting's title, location, or body:

  • A link to a supported ATS: Lever, SmartRecruiters, Workable, Greenhouse, or Ashby

  • Any link containing brighthire.ai

  • The text #brighthire

  • The words Interview, Phone, or Screen

Because Guide creates interviews in Greenhouse on the candidate's profile and includes the video conferencing link, BrightHire typically detects Guide-scheduled interviews automatically.

Troubleshooting: the "Interview with BrightHire" button isn't showing

Work through these in order:

  1. Confirm the BrightHire browser extension is installed for the interviewer. Without it, the button will never appear.

  2. Check the invite for a detection signal. Open the calendar invite and confirm it contains at least one of the signals above (an ATS link, a brighthire.ai link, #brighthire, or the words Interview / Phone / Screen). Guide-generated invites usually include the ATS link and conferencing link by default.

  3. Confirm the interview exists in the ATS on the candidate's profile. This is what lets BrightHire associate the event with a candidate and join the call.

💡 Tip: If you want to guarantee detection on a specific event, adding #brighthire to the invite body is a simple, reliable signal.

Phone screens and recorded phone calls

BrightHire joins video interviews automatically, but recorded phone calls work differently. Phone calls are conducted through the BrightHire dialer, which can be launched with the candidate's information and number prefilled from:

  • The calendar invite, using the "Interview with BrightHire" button

  • Your ATS, using the "Call with BrightHire" button

  • The BrightHire home page

For phone screens, the interviewer should start the call from the BrightHire dialer rather than expecting BrightHire to join an external phone line on its own.

How BrightHire matches the call to the right candidate

To prefill candidate details and connect the recording to the correct profile, BrightHire matches using either:

  • A link to the candidate's scorecard in the invite, or

  • The candidate's phone number in the Location field, matched to a candidate with the same phone number in BrightHire

If candidate details aren't prefilling correctly, confirm one of these is present and accurate.
