Scheduling Defaults & Load Settings

How to control daily/weekly interview limits, load balancing, and interviewer availability rules.

Scheduling Defaults & Load Settings

Guide gives admins control over how often interviewers are booked—and how scheduling is distributed across your team. Setting thoughtful defaults here helps prevent burnout, enforce fairness, and improve turnaround times.

⚖️ Scheduling Defaults

Admins can define default rules that Guide uses when creating interview panels and prioritizing availability:

  • Default Interview Lengths — Define how long each interview type should last if not specified.

  • Time Buffer Between Interviews — Set spacing between back-to-back interviews to avoid burnout.

  • Preferred Working Hours — Default time windows used when availability isn’t explicitly defined.

These settings act as a baseline and can be overridden at the interviewer or job level.

📊 Load Balancing Settings

Load balancing allows you to distribute interviews more evenly across a pool of interviewers. It’s especially useful for high-volume roles or loop-style panels.

Key Settings:

  • Max Interviews Per Day — Limit the number of interviews an interviewer can be booked for in a single day.

  • Max Interviews Per Week — Spread interviews across the week to avoid clustering.

  • Avoid Consecutive Interviews — Prevent stacking back-to-back interviews unless explicitly allowed.

  • Buffer Time — Add buffer time before or after certain interviews.

Guide automatically considers these constraints when suggesting time slots.

📍 Where to Configure

Admins can manage these settings by navigating to:

⚙️ Settings > Scheduling Settings

From here, you can:

  • Set org-wide interview limits

  • Apply rules to specific departments or roles

  • Review overrides for individual interviewers
