Bulk import interviewer pool management

Instructions for successfully using Guide's bulk import tool to update Interviewer Pools.

Before getting started, create the destination pools in Settings → Interviewer pools before you import. Pool names in your file must match an existing active pool exactly (these are case sensitive).

Download the interviewer pool membership CSV template. You can also open Settings → Bulk data import → Upload CSV → Import interviewers to interviewer pools and click template in the import dialog to download the same file from Guide.

The template includes columns Email, Interviewer pool name, and Stage.

How to complete a bulk import for interviewer pools:

  1. Prepare your CSV file

    1. Download the template from Settings → Bulk data import (see link above).

    2. Add one row per interviewer and pool membership.

    3. Use each interviewer's email address as it appears in Guide (it must match an existing interviewer synced from your ATS).

    4. Enter the exact Interviewer pool name for an active pool.

    5. Set Stage to the member's position in that pool (see supported values below).

  2. Open bulk import in Guide

    1. Go to Settings → Bulk data import.

    2. Click Upload CSV.

    3. Select Import interviewers to interviewer pools.

  3. Choose import options and upload

    1. Optional: turn on Remove interviewers not in this file if this file should be the full membership list for every pool it mentions. Interviewers in those pools who are not listed will be removed when you confirm the import.

    2. Click Upload CSV and select your completed file.

    3. Click Next to open the summary.

  4. Review the summary and confirm

    1. Resolve any errors (missing pools, invalid stages, duplicate rows with conflicting stages, or email addresses that do not match an interviewer when removal is enabled).

    2. Review warnings, including who will be removed from each pool if you enabled removal.

    3. Click Import interviewers to interviewer pools to process the file.

  5. Verify the results

    1. When processing finishes, open Settings → Interviewer pools and spot-check memberships.

    2. Optional: use Export current pool memberships in the import dialog to download current memberships in the same CSV format for future edits.

Supported Stage values

  • Qualified — the interviewer is qualified in the pool.

  • Ready to qualify — the interviewer completed required shadow and reverse-shadow steps but is not yet qualified (training-enabled pools only).

  • Shadow-1, Shadow-2, … — the next shadow interview (Shadow-1 is the first shadow, with zero completed shadows).

  • Reverse-1, Reverse-2, … — the next reverse-shadow interview after the required shadows.

The stage must fit the pool's training settings. Shadow-0 is not supported.

Tips

  • To update existing memberships without removing anyone, leave Remove interviewers not in this file off.

  • Each row is one membership. The same email can appear on multiple rows for different pools.

  • Duplicate rows for the same email and pool name with different stages must be resolved before import.
