Manage interviewer profiles, preferences and availability

Guide allows for organization defaults to provide a starting point for supported preferences. Each user can keep those defaults or customize their own values. brings a person's profile, scheduling preferences and pool membership into Edit settings.

How Users Managing Settings

To manage your own settings, open Settings and choose Profile or Preferences in the Personal section.

To manage another person, open Settings → Users, find the person and choose Edit settings. Your permissions determine which changes you can make, and the person's roles determine which sections appear.

The dialog has Profile, Preferences and Pools tabs, as applicable. Profile contains candidate-facing information. Preferences contains calendar, availability and communication settings. Pools contains the person's interview assignments.

Make your changes, then select Save changes. Changes can span multiple tabs before you save. Cancel discards the draft; closing with unsaved changes asks whether you want to leave without saving. If a field is invalid, correct it before saving.

The interviewer details sheet displays information and provides an Edit settings action. Use that action to change profile, preference or pool values rather than editing directly on the sheet.

Admins can set Organization Defaults

Administrators manage interviewer defaults under Settings → Interviewers → Defaults. These include the default timezone, interview hours, booking window, buffers, minimum notice, blocked dates, flexible meetings and scheduling limits.

Use Settings → Scheduling → Communication defaults for the default invitation calendars and scheduling communication preferences. These include optional attendance on interviewer invitations and follower defaults for recruiters and coordinators.

These settings provide defaults for people who have not set a different value. Invitation-calendar defaults and organization blocked dates live in these dedicated pages rather than the legacy Scheduling defaults page.

Individual Users can follow defaults or set a personal override

A supported preference can inherit its value from the organization. Changing it creates a personal override. Use Reset to remove that override and follow the inherited value again, including later changes to the organization default.

Existing timezones are preserved. A connected Slack account can initialize an unset timezone; it does not repeatedly replace a timezone you have chosen. Resetting the timezone returns it to the org's default setting.

Users choose calendars for invitations and availability

In Preferences, review the calendars used for interviewer and candidate invitations, plus the secondary availability calendar when that option is available to you.

The calendar guidance explains the access required for invitations. Schedulers need write access to an invitation calendar; without it, Guide uses the relevant personal-calendar fallback.

Note: Setting an organization calendar default does not grant Google calendar permissions. Follow the Set up permissions guidance when using a shared or group calendar.

Users can create reusable availability

Default availability supplies your usual interview hours. You can also create named availabilities for recurring situations, such as availability for candidate to self schedule a recruiter screen or hiring-manager screens that you take only on certain days.

To create one, open Preferences, find Interview availability, select Add availability, give it a descriptive name and configure its settings. Select Save changes when you are finished.

An availability includes:

  • Interview hours: the days and time ranges when interviews can take place.

  • Booking window: how far into the future candidates can book, measured in calendar days or weekdays.

  • Buffer before interviews and Buffer after interviews: time reserved around interviews.

  • Minimum notice: how much advance notice a booking requires.

The booking window, buffers and minimum notice only apply to self-schedule requests and booking links. Your default interview hours are also used when Guide schedules regular interviews.

For example, you can keep your normal interview hours as Default availability and create Hiring manager screens for Wednesday through Friday with a seven-day booking window. Load that named availability when setting up a screen request or booking link.

Manage exceptions and scheduling limits, both at org and individual levels

Blocked dates includes organization dates and your personal dates. Organization-provided dates are read-only in personal preferences; you can add your own dates. Synced dates retain their source information.

Flexible meetings identifies meetings that should not block interview availability. You can customize inherited flexible-meeting choices and add personal entries.

Scheduling limits lets you review or override the supported interview-load limits inherited from your organization.

Queue auto-assignment hours appear for people with the relevant scheduling permissions. They are separate from named interview availability.

Manage communications

In Preferences, review optional attendance and recruiter/coordinator follower settings. These can follow organization defaults or use personal overrides. Automatic replies have their own controls.
