View and manage your team directory, user roles and candidate-facing profiles all in one place.

šŸ§‘ā€šŸ’¼ View and Search Users

From the Users tab in Organization Settings, you can:

  • View a full list of all users in your Guide workspace

  • Use the search bar at the top to filter by name or email

  • See each person’s current assigned role (e.g. Interviewer)

šŸ”„ By default, all users sync automatically from your connected ATS (like Greenhouse or Ashby). Each synced user is assigned the Interviewer role, which has the lowest access permissions.


āž• Invite New Users

To manually add a teammate:

  1. Click the Invite button in the top-right corner.

  2. Enter their work email address.

  3. Assign a role (e.g. Interviewer, Coordinator, Admin) when prompted.

āœ‰ļø New users will receive an email invite to activate their Guide account.


šŸ‘¤ View and Edit User Profiles

Click any user to open their profile drawer, where you can:

  • See upcoming interviews assigned to that user

  • View or assign training paths

  • Edit their candidate-facing profile (the version candidates will see)

This profile can include:

  • Full name

  • Role (e.g. ā€œCreative Directorā€)

  • Pronouns

  • Profile photo

  • Short bio

  • URL (e.g., LinkedIn)

  • Optional video introduction (YouTube or Loom)

🧩 If your team has the Slack integration enabled, Guide will auto-populate each user’s name, title, and profile image using their Slack profile—so profiles won’t start blank.


āš™ļø Edit Profile or Scheduling Preferences

To update internal or availability-related info:

  1. Click the three-dot menu (⋯) in the user’s profile drawer

  2. Choose between:

    • Edit profile (to update name, title, bio, etc.)

    • Edit scheduling preferences (to adjust their working hours, limits, and buffer time)

  3. Save changes when finished

šŸ•“ Scheduling preferences affect when Guide can book interviews for this person. Profile info is what candidates will see.


āœ… Tips

  • Users added via ATS sync won’t receive Guide access until manually invited.

  • Encourage your team to personalize their profiles—bios and videos help humanize the experience for candidates.

  • Use roles to manage permissions and access throughout your workspace.
