Using Scheduling Queues n Guide

Understand how candidate scheduling tasks are routed to a queue and how coordinators can manage them in Guide.

✅ Assigned to Me Queue

Shows all interviews you’ve already picked up and are actively coordinating.

Use this tab to manage your personal queue and track in-progress interviews.

👀 Following Queue

Displays all interview tasks associated with candidates for whom you are listed as the Recruiting Coordinator in your ATS (e.g., Greenhouse or Ashby).

Even if you haven’t picked up the scheduling task in Guide yet, it will still appear here so you can easily track activity on the candidates you “own.”

📥 “Unassigned” Queue

Guide uses a central Unassigned queue to collect all candidate scheduling requests that haven’t yet been picked up by a recruiting coordinator (RC). This helps teams triage interview tasks efficiently — no one gets double-assigned, and nothing falls through the cracks.


🧑‍💻 How Coordinators Pick Up Scheduling Requests form a queue

  1. Go to the Coordinator Dashboard

  2. Click the Unassigned tab

  3. Browse or filter tasks based on:

    • Department or function

    • Job title

    • Interview stage

    • Candidate name

  4. Click into a task to take ownership and begin scheduling


🧭 Can We Set Up Multiple Queues by Function?

Currently, Guide supports only one shared Unassigned queue. There is no built-in support for:

  • Multiple queues by department (e.g. “Engineering Queue,” “Sales Queue”)

  • Auto-routing to specific RCs by role or location

However, coordinators can replicate this logic using filters and saved views, creating function-specific views they can bookmark or default to.


🛠️ Tip: Use Tags or Job Naming Conventions

To make filtering easier:

  • Use consistent job titles or interviewer tags (e.g. “Tech”, “Exec”, “Sales”)

  • Encourage RCs to use saved filters to quickly find tasks relevant to their domain
